User Guide Databases
Databases and records
Create databases, add and edit records, import data and work with the record panel.
A database holds records of one kind — tasks, customers, products, quotes. You decide what each record contains by adding fields, and how records are shown by adding views.
Create a database
- Open a space and go to its Overview.
- Under Databases, choose New Database.
- Enter a name, for example Tasks, Contacts or Inventory.
The database opens in a table view with a Name column for the record title. It also appears in the sidebar under the space.
Tip
Name databases after what one record is, in the plural: Customers, not Customer list. It keeps relations and reports easy to read.
Add records
- Choose New Record in the toolbar, or New record under the last row of a table.
- To bring in many records at once, use Import in the toolbar and upload a CSV file. You match each CSV column to a field before importing.
Edit records
- In the table: click a cell and type, or pick a value from the list.
- In the record panel: click a record's title to open it on the side. The panel shows all fields, comments, attached files and linked documents. You can also open a record on its own page.
Changes save automatically and appear for everyone working in the same database.
Comments and mentions
Each record has a comments area for discussion. Mention a member with @ to notify them.
Delete and restore
Deleted records, fields, databases, documents and whiteboards go to the Trash in the sidebar. From there you can:
- Restore an item, or
- Delete permanently selected items (owners and admins), or
- Empty trash to delete everything in it (owners and admins).
Items stay in the trash for 30 days and are then deleted permanently. Files on trashed items still count toward your storage until they are deleted.
Record PDFs
Download any record as a PDF from the record's PDF button, with the built-in layout or, on paid plans, your own template — and save the PDF to the record. See PDF templates.
